Privacy Policy

CollabX, a platform owned and operated by Web IQ Technologies Private Limited is committed to respecting and protecting your privacy. We believe in keeping things simple, secure, and transparent. That’s why it’s important you understand how we handle your personal information.

This Privacy Policy (“Policy“) applies to any individual (“User” or “you“) who visits, uses, or intends to use any of the services (“Services“) offered by CollabX through any of its digital touchpoints, including but not limited to the website, mobile site, mobile applications, and other customer interface channels (together referred to as the “Sites“).

By accessing or using the Sites, you agree to the terms laid out in this Privacy Policy and give your consent for the collection, processing, and use of your personal information for the purposes described here. If you do not agree with this Policy, please refrain from using the Sites or any of the Services. CollabX will not be obligated to provide you with Services or information in such cases.

Please note: This Policy does not apply to third-party websites, platforms, or mobile applications—even if they’re linked from our Sites. The privacy practices of our business partners, sponsors, advertisers, and other third-party services may differ significantly from ours. We strongly recommend reviewing their privacy policies before sharing any personal data.

This Privacy Policy forms a part of your overall agreement with CollabX and should be read alongside any other applicable terms of service or contracts you’ve entered into with us.

CollabX collects and uses limited personal data, which may include “sensitive personal data or information” as defined under the Reasonable Security Practices and Procedures and Sensitive Personal Data or Information Rules, 2011 (“IT Rules”). We collect and process this information under specific conditions:

  • You’ve given explicit consent for one or more defined purposes,
  • It’s required to fulfill a contract or agreement,
  • It’s necessary for legitimate interests pursued by us or a third party (as long as these don’t override your own rights and freedoms),
  • It is required to protect your vital interests or those of another natural person,
  • Or it’s needed to comply with applicable legal or regulatory obligations.

A. Information Collected

This Policy applies to data collected via the CollabX Sites and during any direct or indirect interaction between the User and CollabX, including its team, agents, or authorized representatives.

We primarily collect two categories of information:

  1. Personally Identifiable Information (PII)
  2. Non-Personally Identifiable Information (Non-PII)

i. Personally Identifiable Information

For this Policy, “personally identifiable information” or “personal information” means any detail that can be used to identify you. This may include your full name, address (city, state, postal code), contact number, email ID, social media handles, user credentials, official identification documents (e.g., passport or national ID), and similar data.

Under the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, the following are treated as Sensitive Personal Data or Information (SPDI):

Sensitive Personal Information includes:

  1. a) Your password (if created)
    b) Financial details such as:
    – Bank account numbers
    – Credit or debit card numbers
    – Other payment method details
    c) Information about physical or mental health
    d) Sexual orientation
    e) Medical records and medical history
    f) Biometric data
    g) Any data related to the above that you provide to CollabX for services
    h) Any data related to the above that is processed or stored by CollabX under lawful contract

What Doesn’t Count as Sensitive Personal Data:

  • Information available freely in the public domain
  • Information disclosed under the Right to Information Act, 2005 (RTI)
  • Any data provided under other applicable laws in force

How We May Collect Personally Identifiable Information

We may collect PII in several ways. These include, but are not limited to:

  • Contact details and profile setup data, including first name, last name, phone number, email address, date of birth, postal address, and gender—depending on which features or services you choose to use
  • Additional profile preferences such as preferred language(s), short bios, and other voluntary inputs. Depending on your settings, some of this information may be visible on your public profile
  • Other details you submit while filling forms, updating your account, completing surveys, joining events, participating in contests, posting to community spaces, or sharing your experience with our team

These examples illustrate how we may collect personal data. If you prefer not to share this kind of information, we ask that you refrain from submitting it through our Sites or Services.

ii. Non-Personally Identifiable Information

Non-Personally Identifiable Information refers to data that does not directly identify you. It may include demographic data (age, interests, gender, location), technical information, or general analytics insights.

Here are some types of non-personal data we may collect:

  • Your interests and general demographic data (as shared in your account settings)
  • Publicly visible elements on your profile, such as follower counts or preferred content types

Log Files / IP Address Tracking

When you access our Sites, our servers may automatically log your IP address and generate log files. These files may include:

  • IP address
  • General geographic data
  • Browser type and version
  • Device type and settings
  • Operating system
  • Language preferences
  • Referral pages and website flow
  • Visit duration, time stamps, and session frequency
  • Crash data and other error diagnostics
  • Analytics gathered from cookies or tracking tools

The source of this usage data is our internal analytics tracking system. This helps us understand how people use CollabX and enables us to improve functionality, user experience, and campaign performance.

Cookies

A “cookie” is a small text file stored on your device to track certain activity on the Sites. For example, when you visit a page within the CollabX platform, a cookie may be placed on your browser (if cookies are accepted). If you’ve visited the site before, that cookie may be read again to identify previous activity.

Cookies help us improve your experience. They remember things like login sessions, preferences, and previously viewed content. If you choose to block cookies using your browser settings, certain personalized features may not function as expected. While cookies are harmless, they can contain non-personally identifiable information that persists unless deleted manually.

Depending on your browser and version, some cookies might not be removed with general cookie clearing. Please refer to your browser’s documentation to locate and delete these manually if needed.

Controlling Cookies

Most browsers allow you to manage your cookie preferences—including blocking or deleting them. Here are support links to help you configure cookie settings for major browsers:

Please note: Blocking all cookies may impact your ability to use several features of the CollabX Sites. If you disable cookies, certain parts of the platform may not function properly.

How CollabX Uses Cookies

We use cookies for several purposes, including:

  • Remembering your safe browsing preferences
  • Delivering relevant advertising
  • Counting page visits and traffic
  • Simplifying sign-ups and logins
  • Securing user sessions
  • Remembering your ad settings or language preferences

Cookies help make the platform faster, more secure, and more aligned with your needs.

Cookies are downloaded onto the devices you use to interact with CollabX. Every time you return, your browser allows the cookie to help us recognize you and personalize what you see. This improves the browsing experience and helps the platform function smoothly.

Some common cookie functions include:

  • Delivering content or features you requested
  • Allowing seamless page transitions and media loading
  • Remembering whether you’ve already filled out surveys or forms
  • Limiting how often specific ads are shown (“frequency capping”)
  • Enabling social sharing via platforms like Facebook, YouTube, or Google

If you use social sharing features from our Sites, those third-party platforms may also place cookies on your device. These cookies are not under our control. We advise checking the cookie policies of those platforms before sharing content.

Importantly, CollabX does not sell any personal information collected via cookies to any third-party organizations.

Opting Out of Behavioural Advertising

In addition to browser controls, you can manage whether or not you receive Online Behavioral Advertising (OBA). These settings usually work by creating a new “opt-out” cookie that overrides tracking cookies.

However, clearing all your cookies will also delete your opt-out preferences. If this happens, you’ll need to reset those choices manually.

We collect this type of non-personally identifiable information from all visitors. If you do not agree to the collection of this data, we advise that you discontinue use of the CollabX Sites.

B. Data Collection Methods

We use the following methods to collect information about users interacting with the CollabX platform:

● Direct Interaction

You may choose to provide your personal information by filling out forms on the site, contacting us via email or phone, or through other direct engagements with our team. These interactions may include:

  • Registering on the CollabX platform

  • Subscribing to newsletters, platform updates, or promotional communications
  • Requesting information about campaigns, influencer partnerships, or advertising packages
  • Participating in surveys, events, giveaways, or feedback campaigns
  • Posting public comments, testimonials, or community discussions

Each of these actions may result in the collection of certain personal data depending on what you voluntarily provide and how you engage with our services.

● Automatic Collection

CollabX may automatically collect technical information about your device, browser, and activity when you access or use our Sites. This may include your device type, screen resolution, operating system, browser version, actions taken on pages, time spent, and navigation behavior. We use cookies and similar technologies to facilitate this process. In some cases, cookies placed by third-party platforms may also be used to help improve your experience or track performance metrics.

● Publicly Available Sources

We may collect and process personal data obtained from public sources, government registries, social media platforms, or licensed third-party vendors. This may include information published in public profiles, business directories, or platforms that you use to promote your services.

● YouTube Integration via OAuth

If you choose to connect your YouTube account to the CollabX platform through OAuth, we may collect data such as your username, channel metadata, and other details you authorize during the connection process. This data is collected exclusively to enable functionality related to YouTube within our platform—such as influencer verification, channel insights, and campaign reporting.

We do not use this information for any unrelated purposes. We do not share this data with third parties unless otherwise specified in this Privacy Policy.

For more on how YouTube and Google process personal data, please refer to the Google Privacy Policy.

CollabX may share personal and non-personal data with relevant entities in specific scenarios. These disclosures are done strictly in alignment with the purposes defined in this Privacy Policy and only where necessary.

● Affiliates and Subsidiaries

We may share your personal data with our affiliates, subsidiaries, employees, authorized agents, and advisors—locally and internationally—when required for operations, support, or legal compliance. “Affiliates” or “subsidiaries” refer to related entities that share ownership, branding, or operational frameworks with CollabX.

During day-to-day operations, relevant team members responsible for client service, technical support, data analysis, and legal obligations may access certain personal information. We may also share necessary data with advertisers or campaign stakeholders if it helps deliver the service you’ve opted into or fulfill our regulatory obligations.

We do not share your personal data with unrelated third parties as part of our core services. However, the following exceptions may apply:

● Third-Party Service Providers

Your data may be shared with verified third-party providers—such as hosting services, analytics platforms, marketing partners, or payment processors—who support CollabX’s technical or service infrastructure. If you participate in a campaign or promotion facilitated by CollabX in collaboration with a brand or advertiser, we may share relevant details to enable your participation.

● Legal and Regulatory Requirements

We may disclose your information to government agencies, law enforcement, or regulators if required by a legal obligation, court order, or valid request under applicable law.

● Corporate Events and Transactions

If CollabX undergoes a business transaction, merger, acquisition, or asset sale, your data may be shared with the acquiring entity and their legal or financial advisors during the due diligence process. If such a transfer occurs, you’ll be notified as per the terms of this Privacy Policy.

● Protecting the Platform

We reserve the right to disclose personal data when needed to enforce our terms of service, protect platform integrity, prevent fraud, or assert legal rights in response to misuse or unauthorized access.

● User Safety and Property

If there is reasonable belief that your data may help prevent harm or secure the safety of any individual or the public, we may share it with relevant authorities or services as a protective measure.

E. Retention of Data

CollabX retains your personal information only for as long as it’s needed to fulfill the purposes outlined in this Policy or to comply with legal, accounting, and regulatory obligations.

While you are actively using our services or are in a contractual relationship with us, we maintain your data to provide ongoing support. After termination of the service or closure of your account, we may retain certain data for a reasonable period—as required by applicable laws—for:

  • Legal compliance
  • Audit and tax obligations
  • Fraud prevention
  • Dispute resolution

Once the retention period expires or the data is no longer required, it is securely deleted or anonymized.

F. Overseas Transfers

Your data may be processed outside the jurisdiction where you reside, including in countries that may have different data protection laws than your home country. In particular, our infrastructure and third-party service providers may operate from jurisdictions where data privacy regulations are not identical to those in India or your local region.

By accepting this Privacy Policy, you explicitly consent to the processing of your personal information in such jurisdictions for the purposes defined in this Policy.

Before transferring data, we ensure that appropriate safeguards are in place to maintain data security and compliance, such as contractual protections or equivalent legal frameworks.

If you do not wish your data to be processed in other jurisdictions, or if you would like to withdraw your consent for such transfers, you may contact us at hello@collabx.com. Please note that if this processing is essential for delivering our services, we may no longer be able to support your account after consent withdrawal.

(c) Right to Withdraw Consent

If you have previously given consent for data processing, you may withdraw it at any time by writing to hello@collabx.com. Withdrawal of consent will not affect the lawfulness of data usage prior to your request. However, in some cases, withdrawal may result in CollabX no longer being able to provide services to you.

To exercise any of the above rights or to request a review of your stored data, please write to hello@collabx.com. Your request will be handled by our data protection contact or grievance cell.

We aim to respond to all valid requests or concerns within 30 days of receipt, subject to applicable laws and internal verification procedures.
